Event Planning Tip #2

Source the venue

One of the biggest decisions you need to make when planning your event is to source the perfect venue!

This is important as it needs to be somewhere suitable for your activity, and easily accessible for your attendees. The earlier you book your venue; the better, as good venues get booked fast. They type of venue you decide to book will depend on the team building activity that you have decided on, for example, some activities can be done inside, whereas some larger activities such as ‘It’s a Knockout’ will need a venue that has a large outside area.

Another thing to consider when you are looking for your perfect venue is where your delegates will be attending from. If delegates will be attending your event from out of town, it would be a good idea to choose a venue that is close to an airport, train station or their hotels if they are staying over the night.

Take a look at our FREE Event Planning Guide which includes some useful event planning tips.

Helping your attendees to make sure that they have all the information they require for the venue is another important thing to consider. You will need to make sure that they have directions, and parking information and local attractions depending on when your event is taking place, as they may want to explore the location before or after your event.

We offer a free venue finding service and can help you to find the perfect location for your next event. We can also help with activities to help keep your guests entertained.

Parking is an important thing to think of when choosing your venue as a venue with plenty of parking will be more convenient for your attendees. If you have found a venue that you love but the parking is limited, it would be a good idea to look at car parks close by that you could access and use. If there is no parking at your venue there are a few options available to you such as supplying a mini bus or taxis for your delegates. You could always encourage your delegates to be environmentally friendly and share a ride!
